Dear GBE Families,
The GBE PTA would like to welcome back all of our returning families and give a great big welcome to all of our new families that are joining us this school year. We hope that everyone has had a safe and wonderful summer!
The GBE PTA has an exciting year planned for our children, families, and teachers. We need your help to get all of our activities accomplished. That is why we have developed the GBE PTA Volunteer Handbook! It gives a quick description of most of our volunteer activities. Remember this is a description of different PTA volunteer opportunities. There are other volunteer opportunities available at GBE such as helping in the classroom, library, and clinic.
Please take the time to look over our different volunteer opportunities and use the volunteer checklist on the last page to let us know how you would like to volunteer this year. Please consider being a committee chairperson. We have positions still available.
If you are unsure of what you would like to volunteer for we can help. Just let us know your interests and we are sure to find the perfect volunteer position for you. We realize that people are busy and sometimes are unable to volunteer during the school day. Luckily, a lot of our opportunities involve weekends or weeknights. We accept middle and high school students as volunteers for social functions and we sign volunteer sheets so it is a great opportunity to involve the whole family. PTA Chairperson and Committee Positions
Art Walk Coordinator- Works closely with Ms. Wright in putting together the Art Walk. This includes organizing volunteers to help display artwork and then to remove the artwork from the walls afterwards.
Book Fair Chairperson- Works with the librarian to organize two Scholastic book fairs. Responsibilities include flyers and advertising, scheduling volunteers, setting up and breaking down book fair, facilitate good communication, counting daily earnings, and managing money.
Box Top Chairperson- Makes and sends flyers about Box Tops, counts and sends in Box Tops collected, and provides incentives.
Dance Chairperson/Committee- Creates a theme for the dances, decorates for the dance, coordinates food to be served, arranges entertainment and makes/distributes flyers.
Facebook/Twitter Manager- Maintains our PTA Facebook and Twitter sites by providing update information about our PTA and upcoming events.
Family Fun Night Coordinator/Committee- Helps plan events for our families. Events include activities such as ice cream socials and bingo nights.
Fun Run Chairperson- Organizes our annual Fun Run. This includes making/distributing flyers, collecting money, finding sponsors, providing t-shirts, and also organizing the event through the proper community resources decorations and game day events
Grace Arts Chairperson- Coordinate with Greater Reston Art Center (GRACE) and parent volunteers to provide monthly art enrichment programs to the students.
Hospitality Chairperson- Organizes lunch for the Teachers and Staff the week prior to school opening, coordinates Teacher/Staff Appreciation Week (May), as well as various special occasions to provide refreshments during the school year (e.g., author visits, teacher in-service).
International Night Chairperson- Organizes our annual event that features our students and their families displaying and performing their cultural heritage. This includes organizing the cultural exhibits, performances, and food provided by our families.
Membership Chairperson- Coordinates the PTA membership drive and maintains a PTA roster. Distributes membership cards once dues are paid.
Original ArtWork Coordinator- Send out brochures, organize artwork, collect and compile data from the sale and deliver items to students.
Plant Sale Coordinator- Contact a local nursery and organize sale, make/distribute flyers, compile data and organize a pick up day.
PTA Newsletter Editor- Coordinates writing and compiling articles for print or on-line to notify the community about what the PTA is doing for our school
Reflections Coordinator- Coordinates the National P”TA Reflections Program and Awards Ceremony for this arts recognition and achievement program for students in the areas of literature, musical composition, photography, and visual arts.
Restaurant Night Coordinator- Plans monthly restaurant nights, communicates between restaurant and PTA, and makes/distributes flyers.
Retail Chairperson- Enrolls the school in the Giant Bonus Bucks, Harris Teeter and Safeway bonus programs. Keeps track of any earnings from these programs.
Room Parent Coordinator- Makes sure each teacher has a room parent and disseminates important information from PTA to room parents. This also includes coordinating class baskets for the silent auction.
Silent Auction Chairperson/Committee- Organizes the silent auction which includes obtaining auction items, making and distributing flyers, overseeing volunteers, and setup/breakdown.
Special Education Liaison- Provides a link between our special education community and the PTA.
Spirit Wear- Coordinates the sale of t-shirts, etc., to promote school pride. This includes making/ distributing flyers, taking orders, and distributing merchandise.
Spring Carnival- Organize and plan the spring carnival games, food and activities with the help of room parents and volunteers. Arrange prizes, rental items, space needed and advertisements as well as presale of wristbands.
Student Directory Chairperson- Compile data, contact printing companies and compare prices, and make/distribute flyers and directory.
Superbowl Pizza Coordinator- Promotes sale, takes orders, and distributes merchandise when it arrives.
Teacher Liaison- Provides a link between our teaching staff and our PTA community.
Volunteer Coordinator- Works closely with the PTA VP to send out volunteer forms at the beginning of the year, raise awareness of volunteer opportunities throughout the year, compile a spreadsheet of volunteers, and contact volunteers throughout the year for different activities.
Website Manager- Maintains PTA website throughout the year which includes updating events, uploading forms and current information.
Yankee Candle Chairperson- Duties include but are not limited to communicating between Yankee Representative and PTA, distributing and collecting order forms, Compiling data, keeping track of incentives, organize kick off assembly and pick up day.
Volunteer Opportunities
A brief description has been given for each volunteer position but it is not limited to the description provided.
Art Walk Volunteer: Help with setting up by hanging artwork around the school in the days prior to the art walk or by breaking down the art walk by taking down the art work.
Book Fair Volunteer: Create a volunteer schedule, Help set up the book fair, help students with wish lists, help parents and students find books, or assist with sales.
Dance Volunteer: There are two dances per year. Volunteer opportunities include decorate, sell tickets, copy/distribute flyers, and clean up.
Family Run Volunteer: Help with distributing flyers for donations, assist with setup and door prizes, distribute race day packets and help clean up.
Fun Night Volunteer: Help with setup, assist with activities, sell tickets, copy/distribute flyers, and clean up.
Grace Arts: Each grade level has 2 sessions per year and there are only two grades done each month. Assistance is needed to help set up, assist students, and help clean up.
Hospitality Volunteer: Help set up, serve refreshments, decorate and plan events during the school year.
International Night: Make copies of flyers, assist with set up, clean up, and help actual event to run smoothly.
Plant Sale Volunteer: Help to tally orders and distribute plants on pick up day.
PTA Newsletter: Assist with writing articles.
Reading Night Volunteer: Dress in character and read a book to students. Set up and take down decorations.
Reflections Volunteer: Provide assistance to the coordinator as needed to run the program that highlights student achievement in the areas of literature, musical composition, photography, and visual arts.
Room Parent: Help teachers with celebrations for the classroom. Coordinate classroom donations and volunteers for activities, silent auction basket and a Spring Carnival booth.
Silent Auction Volunteer: Make and distribute flyers, help obtain silent auction items, setup and breakdown.
Spirit Wear Volunteer: Help sale and distribute merchandise ordered.
Spring Carnival Volunteer: Help advertise, plan booths, prepare and sell food, order prizes, hand out wristbands, sell tickets, set up or clean up spring carnival. We will need lots of help!
Superbowl Pizza Volunteer: Help with the compiling of orders and distribution of food purchased on pick up day.
Website assistant: Help to keep the website current with PTA articles, calendar and volunteer opportunities.
Yankee Candle Fundraiser: Help to advertise, conduct assemblies, send flyers, and distribute ordered products on pick up day.
Attention Parents:
The PTA has a lot planned for this year and as always the success of our events, fundraisers and day to day activities depend greatly on the support of our wonderful volunteers. Please take a look at the following list of volunteer positions that we have. Any time that you can give would be greatly appreciated! Please check any positions you may be interested in and we will contact you to let you know where you are most needed.
The GBE PTA has the following Chairperson/Coordinator positions for 2010-2011:
